Information We Collect
Personal Information You Voluntarily Provide
We may collect personal information you choose to provide, including: Name, Email address, Phone number, information submitted through contact forms, consultation requests, or newsletter sign-ups, and information shared during coaching inquiries or sessions.
Coaching Session Content
If you become a coaching client, sessions may be recorded via Zoom's cloud recording service for (1) the Coach's own professional review and development, and (2) to provide you with a copy of your own session upon request. Session content (including recordings and transcripts) may be processed using LittleBird, an AI-based platform, to generate session summaries and post-session emails. All AI-generated materials are reviewed by the Coach before use and held to the same confidentiality standard as the Coach's own notes. You may opt out of recording and/or AI-assisted note-taking; an alternative record-keeping method will be discussed with you. Recordings retained for the Coach's professional development are only ever shared in anonymized, hypothetical form for supervision, mentoring, training, or consultation purposes, with no identifying information included.
Automatically Collected Information
When you visit the website, certain information may be collected automatically through analytics and cookies, including: IP address, browser type, device information, pages visited, time spent on the website, and referral sources. This information helps improve website performance and user experience.

Coaching Disclaimer
Serendipitous Coaching provides coaching and educational services and is not a substitute for licensed medical, psychological, or psychiatric care. Coaching is not therapy and does not diagnose, treat, or prevent any mental disorder or medical disease. Information shared through this website or coaching services is treated as confidential in accordance with the International Coaching Federation (ICF) Code of Ethics. However, please note that the coaching relationship is not a legally privileged relationship (unlike, for example, the medical or legal professions), and communications are not protected by any legally recognized privilege. Confidentiality may not apply where there is concern of harm to self or others, suspected abuse or neglect subject to mandatory reporting, disclosure of criminal activity, or where disclosure is otherwise legally required.
Professional Credentialing
As part of maintaining ICF coaching credentials, the Coach may be required to share a client's name, contact information, and coaching start/end dates with ICF staff or related parties solely to verify that a coaching relationship took place. No session notes or content are shared as part of this process.

Data Security & Retention
Reasonable safeguards are used to help protect your information, consistent with applicable data protection laws (including, where applicable, GDPR) — including secure storage, access limitations, and protection against unauthorized or unlawful processing, loss, or damage. However, no online transmission or storage system can be guaranteed 100% secure. Coaching records (including session-related information) are retained for a minimum of five years, in a format of the Coach's choosing (print or digital), and are not kept longer than necessary for the purposes described in this policy. In the event of a data security breach affecting your personal information, and where required by applicable law, we will notify you and any relevant regulatory authority.

Testimonials & Marketing
We will not use your name, image, voice, testimonial, or other identifying information for marketing, educational, or promotional purposes without your separate, specific written consent, obtained in advance for each intended use. You may decline to provide a testimonial or withdraw prior consent at any time without affecting your coaching relationship with us.
Children's Privacy
This website and services are intended for adults and are not directed toward children under 13 years old. We do not knowingly collect personal information from children. Coaching services require clients to be 18 years or older.
Changes to This Policy
This Privacy Policy may be updated periodically. Changes will be posted on this page with an updated effective date.
